At BodyMindLife, we believe in evolution through learning, innovation, and creating a community where everyone feels supported on their wellness journey. Today, we’re excited to share a significant change we’ve made—one that reflects our commitment to staying ahead of the curve while staying grounded in what truly matters: you.
Who would have thought a Yoga and Pilates studio could embrace cutting-edge technology like AI? In early November, we took a bold step forward by creating an AI agent to handle membership pauses and resumes. This change has allowed us to focus more on what we do best—creating meaningful experiences for our students—while ensuring your interactions with us remain seamless and stress-free.
Before this, pausing or resuming a membership was a manual, time-consuming process, taking anywhere from 10 to 20 minutes per request. Each change required our team to start over, creating inconsistencies and extra admin work. Now, thanks to the AI agent, these tasks are handled automatically and consistently, saving time and making things easier for you. The extra time saved meant our team could be more available for you over the busy Christmas period, ensuring holiday timetables and studio operations ran smoothly.
We quietly introduced this new system in early December through our regular chat function, and the results have been amazing. In just six weeks, the AI has processed 350 requests—99% fully automated! That’s about 60 hours of saved time—time that Bec, Sophie, and Tara have been able to dedicate to supporting you.
Here’s how it works:
Pausing your membership is as simple as typing, “Pause from 23 Jan to 20 Feb,” and the AI takes care of the rest, no matter how the dates are phrased. It also manages early resumes, renewal extensions, and follow-up reminders, keeping everything clear and convenient for you.
Here are just a few real student requests our AI has handled:
“Hi there. I’m going away from tomorrow. I think I’m back on 6 Feb. Can I pause my membership for the week?”
“Hello. Please pause my membership effective from tomorrow, 24 Jan, for eight weeks, until 21 March. I’ve broken my toes :(”
“I’d like to put my membership on hold from 25 Jan to 6 Feb. I’m off to Germany for work. Thank you!”
Of course, while the AI is incredibly effective, it does occasionally get confused. But because our team monitors the process, they can quickly step in when needed to ensure everything runs smoothly.
Looking Ahead
We’re just getting started. In the coming months, we’ll explore more routine tasks that can be automated, including generating receipts, issuing buddy passes, managing cancellations, and even scheduling teacher cover shifts. Beyond that, we’re working on tools that will integrate real-time data across bookings, sales, marketing, accounts, and member communications. These enhancements will enable us to deliver an even more personalised and efficient experience for you, while making our team’s work smoother and more impactful.
